Sabbatical Leaves

Sabbatical leave may be granted within the discretion of the administration to enable appointed personnel to make advances in their profession, to remain effective in current positions, or to render the greatest possible service to the University of Arizona. UHAP 8.03.02 specifies that sabbatical leaves will be granted only to appointed personnel who have served on full-time continuous fiscal or academic year appointments at the university for a period of not less than six years. Only individuals with tenure or continuing status are eligible for sabbatical leave. Time served in excess of six years may not be accumulated toward future sabbaticals.

University policy stipulates that no later than the end of the second semester following a sabbatical leave, a final two-part report must be filed with the appropriate dean/vice president or director for transmittal to the provost and the president.

UHAP policy indicates that following a sabbatical leave, six years of further service are required before an employee becomes eligible for another such leave. Leaves of absence without pay totaling no more than one year may be counted toward a sabbatical leave. UHAP specifies that sabbatical leaves are to be taken during an academic year.

Within the College of Humanities sabbatical leave applications are reviewed during the fall semester according to a specified college timeline. The Office of the Vice Provost initiates the application process each September throughout the university. Please visit the vice provost's Sabbatical Application Process Announcement. The COH vice dean, in turn, initiates the sabbatical application and review process also in September. All COH sabbatical leave applications are reviewed at the department level by the department head who provides an assessment of the applicant’s leave project and a recommendation concerning the request for sabbatical leave. Unit heads and directors are also responsible for ensuring that the sabbatical application is timely – sabbatical leaves will be granted only to appointed personnel who have served on full-time continuous fiscal or academic year appointments at the university for a period of not less than six years – and complete before presentation for college-level review. Please refer to the vice provost’s and the COH vice dean’s memoranda concerning sabbatical leave applications and all of the items required for a complete file. Incomplete applications at the departmental level should not be forwarded to the college-level until they are complete. The college deadline of November 15 remains firm.

University policy requires that each college have a Sabbatical Leave Advisory Committee consisting of at least three people. The COH Sabbatical Leave Advisory Committee reviews applications for sabbatical leave. Within COH, the college-level review process begins after November 15, the date by which department heads are to present departmentally reviewed sabbatical leave requests to the vice dean. The COH Sabbatical Leave Advisory Committee provides its assessment and recommendation to the dean not later than December commencement. The final approval of sabbatical leave applications occurs at the college-level. Taking into consideration the advisory committee’s recommendations dean-level assessment takes place. In COH applicants are notified of the dean-level decision in writing and usually not later than January 20. Successful sabbatical leave applications are then reported to the Office of the Vice Provost for the relevant academic personnel action. A candidate whose sabbatical proposal is rejected by the dean has the right to appeal to the university sabbatical leave advisory committee.

College memoranda on the next sabbatical application cycle is posted in September of each academic year.
